Comprehensive bookkeeping
We work with LLCs, sole proprietors (FOPs), NGOs, charitable foundations and Diia City residents — in Kyiv and across Ukraine.
What comprehensive bookkeeping includes
Every month we run the same cycle for you. Each item below is work you no longer have to do or double-check.
Source documents
Invoices, delivery notes, acts and contracts — checked and posted.
Bank statements
Every payment posted and reconciled, so your books match the bank.
Accounting and tax records
Ledgers, VAT and VAT invoices, kept in line with your accounting policy.
Taxes and payments
We calculate them and remind you what to pay and by when.
Reporting
Financial, tax and statistical reports, filed and confirmed.
Ongoing advice
Answers to day-to-day questions, such as how to document a deal.
Have staff? Add payroll and HR management.
Full or partial bookkeeping
We handle all of it
For companies without an accountant of their own.
- ✓Source documents and bank statements
- ✓Accounting and tax records
- ✓Tax calculations and payment reminders
- ✓Preparing and filing reports
- ✓Ongoing advice
Only what you need
For companies with an in-house accountant who need a safety net or one area covered.
- ✓Your accountant keeps the books; we check the data and file the reports
- ✓Or we take one area off your plate: payroll only or HR only
More on reporting: reporting preparation.
Who we work with
Sole proprietors (FOPs)
A FOP is Ukraine’s individual entrepreneur status. We support single tax groups 1–3 and the general system: single tax, single social contribution (SSC), returns and deadlines.
Limited liability companies
General system or single tax group 3, with or without VAT: source documents, VAT invoices, State Tax Service filings and financial statements.
NGOs and charitable foundations
Accounting and reporting for NGOs and foundations, including projects with foreign or public grant funding.
Diia City residents
Diia City is Ukraine’s special legal and tax regime for IT companies. We keep residents’ accounting and tax records and prepare their reports.
Outsourced bookkeeping or an in-house accountant
An honest comparison — for some companies, an in-house accountant is the better choice.
| In-house accountant | Paper Cloud | |
|---|---|---|
| Who keeps the books | One person | Lead and chief accountant, quarterly audit review |
| Vacation, sick leave, resignation | The books wait | The team covers |
| Costs | Salary, SSC, workspace, software, training | A monthly fee under the contract |
| Liability for errors | Per the employment contract | In the contract, plus insurance |
| Tax and legal questions | Separate advisors | Tax consultants and lawyers in-house |
| Being in the office | ✓ On site every day | Phone, messenger, email; on site for inspections on request, when needed |
If you need someone on site every day, keep your in-house accountant — we can review their work and file the reports. That’s partial bookkeeping.
How we work: from contract to the monthly cycle
Review and contract
We assess the workload and fix the price in a one-year contract.
Documents and access
You share founding documents and access to your accounting system. No database? We’ll create one. No server? We’ll host it on our secure servers.
Your accountants
A lead accountant for daily work and a chief accountant for the balance sheet and reports. Then it all runs on a reporting calendar.
What happens every month
During the month
You send documents however suits you: messenger photos, email scans, originals by courier or a shared folder.
After month-end
We post bank statements, calculate taxes and send payment reminders.
On the reporting calendar
We file reports, check the receipts and keep you posted.
Switching mid-year? We take over in any month. If past periods have errors, we first restore the records.
What comprehensive bookkeeping costs
Workloads vary even between similar companies, so we don’t publish fixed prices. Four things drive the price:
Tax system
FOP or LLC, single tax or general system, VAT.
Transactions per month
One purchase or sale counts as one transaction, even if it takes several postings.
Employees
How many people are on staff and whether you need HR records.
Type of business
Including any foreign trade.
Who keeps your books
Lead accountant
Keeps your books day to day and is the person you talk to.
Chief accountant
Reviews the books, prepares and files the reports. Supports your year-end inventory count before closing the year.
Auditor
Checks both accountants’ work every quarter.
Tax consultants and lawyers step in when a question goes beyond accounting. Liability for errors is set out in the contract, and our professional liability is insured.
