When you need accounting records restoration

Most clients come to us with one of these situations. If one sounds familiar, that’s fine — it can be fixed:

Books

No books, or only partial ones

Documents sit in folders and inboxes, while the accounting system is empty or incomplete.

Handover

Your previous accountant left

Nobody is sure what was filed, what was paid or where the documents are.

Tax office

A letter or an audit notice arrived

You need to know quickly what your books show and get the papers ready.

Deal

A sale, an investor or a bank loan

The other side needs financial statements they can trust.

Don’t wait for an audit. Under Article 50 of Ukraine’s Tax Code, you can correct a filed return yourself with an amended return, paying the shortfall before you file. Normally that costs a 3% penalty. While martial law is in effect, self-correction comes with no penalty and no late-payment interest (Tax Code transitional provisions). The standard look-back period for audits is 1,095 days (Article 102), but it was paused from 2020 to 2023, so the tax office can go back further. That’s why it pays to fix every period with errors.

Partial restoration or full catch-up bookkeeping

We decide together after the review. Sometimes one area needs fixing; sometimes the books have to be rebuilt.

Partial

One area or period

The books exist but have gaps.

  • ✓VAT and tax invoices
  • ✓Stock
  • ✓Payroll and payroll reporting
  • ✓Supplier and customer balances
Full

Books rebuilt from scratch

The books were never kept or can’t be trusted.

  • ✓All documents and transactions for the period
  • ✓Accounting and tax records
  • ✓Reconciliations and amended returns
  • ✓Clean books ready for monthly work

Sole proprietors on the simplified tax system usually don’t keep full books. For them we restore income records, single tax and SSC payments, and filed returns, and check the income limit of their group.

How it works

1

Free review

We look at your documents, returns and tax account and outline the scope.

2

Plan and contract

We agree what to restore and for which periods. Timing and price go into the contract.

3

Documents

We take what you have and help get the rest from your bank, counterparties and the tax account.

4

Restoration

We post transactions, rebuild the records and reconcile balances.

5

Amended returns

We file corrections where earlier returns were wrong.

6

Wrap-up

You get a written summary: what was fixed and what risks remain.

Missing documents? Most data can be recovered from bank statements, counterparties, the tax account and old emails. Where something can’t be recovered, we explain the risk and look for lawful ways to limit it. If documents were just lost in a fire, theft or damage, notify the tax office within five days with proof of the event. You then have 90 calendar days to restore them (Tax Code, Art. 44.5). Businesses from active combat or occupied areas follow special rules: once they report the loss, those periods are not audited (Tax Code transitional provisions).

Frequently asked questions

How much does accounting records restoration cost?

We quote after a free review and fix the price in the contract, with no extras added along the way. It depends on the number of periods, transaction volume, the state of your documents, and whether there is VAT and payroll. The review carries no obligation: you see the scope and the price before deciding.

How far back can you restore the books?

As far as you need, but the priority is the periods the tax office can still audit. The general limitation period is 1,095 days (Article 102 of Ukraine’s Tax Code). It was suspended in 2020–2023, so older years may also be at risk. We set the exact periods during the free review.

How long does catch-up bookkeeping take?

We set the timeline after the review and write it into the contract. It depends on how many periods are involved and the state of your books. One quarter with full paperwork and several years with no records are very different jobs. If a filing or audit is coming, we start with the most urgent periods.

Can you restore the books without documents?

Usually, yes. We rebuild the data from bank statements, counterparties, the online tax account and old emails, and most transactions can be confirmed this way. If something can’t be recovered, we tell you upfront, explain the risk and look for lawful ways to limit it.

Will there be penalties for corrected errors?

Not while martial law is in effect, if the error relates to a martial-law period. A self-correction under Article 50 of Ukraine’s Tax Code then carries no penalty and no late-payment interest (Tax Code transitional provisions). The shortfall must be paid before the amended return is filed. For other periods the penalty is 3% of the underpaid tax — still less than after an audit.

Will the tax office see the amended returns?

Yes. An amended return is filed with the State Tax Service and becomes part of your reporting. But it is the lawful way to fix an error, and it costs less than waiting for an audit to find it. Before filing, we check the figures against source documents and bank records, so every correction can be explained if questions come up.

Can the restoration be done remotely?

Yes. We work in Kyiv and across Ukraine, so your place of registration doesn’t matter. You send documents as photos in a messenger, scans by email or through a shared folder, and originals by courier if needed. Access to your accounting system and online tax account is set up remotely too.

Can we switch to ongoing bookkeeping afterwards?

Yes, and it is the best way to avoid another restoration. The accountant who restored your books already knows your company, so moving to comprehensive bookkeeping loses no data. The monthly cycle starts right after the restoration, and from then on your reports are filed on time.
