Management accounting

Management accounting shows what tax reports don’t: how much the business really earns, where the cash goes and which line drags you down. We set up management reporting around your decisions and prepare it every month.

For LLCs, sole proprietors (FOPs) and non-profits — in Kyiv and across Ukraine.

Why management accounting

Statutory accounts in Ukraine are built for the tax office. Management accounts are built for you. They help when:

Cash

You’re profitable but short of cash

The numbers look fine, yet paying suppliers and salaries is always tight.

Margins

You can’t tell what makes money

Which clients, products or lines are profitable — and which just move cash around.

Costs

Costs creep up unnoticed

A budget and variance tracking catch problems before they grow.

Investors

Partners or investors need reports

Clear figures that people outside the business can trust.

Management reports you get

The set depends on your business. Most often it includes:

P&L by business line

Real profit by line, client or project, with the margin of each.

Cash flow

Where cash came from and where it went; cash gaps flagged in advance.

Management balance sheet

What the business owns and owes at real value, not tax value.

Receivables and stock

Who pays late and how much cash is tied up in inventory.

Budget vs actual and KPIs can be added. We agree the format with you — spreadsheets or a dashboard.

How we set it up

1

Discovery

How you earn, what decisions you make and which numbers you’re missing.

2

Report design

The reports, breakdowns and KPIs you actually need.

3

Structure

Revenue and cost categories, cost centers and allocation rules. We bring in specialist experts for complex setups.

4

Data sources

Your accounting records and bank data. No new software required.

5

First report

We prepare the first month and walk you through it.

6

Fine-tuning

We adjust until the reports become a tool you rely on.

Management reports are only as good as the bookkeeping behind them. If the books are behind, we check them first and, if needed, restore the records.

Decisions

You see where to act

Reports are usually monthly; weekly or quarterly if you need. It’s easiest when we also handle your bookkeeping: the data is already at hand.

What it looks like in practice

An illustrative example, not a specific client. A company with three lines — retail, wholesale and service — is profitable for the year but always short of cash.

Before

One number for the whole company

The owner sees total profit and the bank balance.

  • ✓No idea which line drags results down
  • ✓Cash gaps come as a surprise
  • ✓Decisions based on gut feeling
After

Reports by business line

P&L and cash flow by line show the picture every month.

  • ✓Wholesale loses money on discounts and delivery
  • ✓Customers pay late, so cash is stuck in receivables
  • ✓The owner revises wholesale terms and payment deadlines

Cost

The price depends on the number of business lines and breakdowns, transaction volume, the set of reports and how often you need them. We quote after discovery, before any work starts.

An exact quote once we know your business

Tell us about your business lines, the decisions you make and how often you need the numbers. We’ll suggest the reports to start with and quote before any work starts — for a one-time setup or for ongoing reporting.

Frequently asked questions

How is management accounting different from statutory accounting?

Statutory accounting follows Ukrainian law and serves the tax office. Management accounting serves the owner, with the breakdowns and format that help run the business. One answers “how much tax do we owe”, the other “what should we do next”. Both use the same source documents, so it makes sense to run them together.

Do we need new software for management reporting?

Not necessarily. Accounting data and well-built spreadsheets or a dashboard are often enough. We match the tools to the size of your business, so you don’t pay for a complex system you don’t need. What matters is that data flows from your books automatically rather than being entered twice.

How often are management reports prepared?

Usually monthly, after the month is closed in the books. More often if needed: a weekly cash flow report, for example, if you need to see cash gaps coming. Budget-versus-actual reviews are most often monthly or quarterly. We agree the reporting schedule at the start, so you know when to expect the numbers.

Is management accounting worth it for a small business?

Yes. A few simple reports — profit, cash flow and receivables — already show where money leaks, at a modest cost. More detailed reports can be added later, when new business lines or partners appear. No new software is needed to start: the data already in your books is enough.

Can you only set it up and let our team run it?

Yes. We can set up the system and hand it over to your team, or prepare the reports every month ourselves — whichever suits you. For complex setups we bring in specialist experts, and we hand over the result with clear guidance on how to use it. If you need support later, we can step in.

How long does implementation take?

It depends on the scope: the number of business lines, breakdowns and reports, and the state of your books. We agree the timeline after discovery. If the books are behind, we put them in order first — through accounting records restoration if needed — because reports built on messy data mislead.
